Start with the event format

A seated meal, standing reception and exhibition have different space requirements. State your participant count and the areas you need: welcome desk, stage, catering, circulation or storage. If you do not know the floor area, describe the use so dimensions can be assessed.

Include the complete schedule

Your brief should cover delivery, installation and dismantling as well as the event. Share permitted access times, noise restrictions and other contractors’ schedules.

Describe the ground and access

Provide an overview photo and a ground-level photo where possible. Specify concrete, grass, soil or other surfaces, and whether ground anchoring is permitted. Truck access, slopes and obstacles affect logistics. Fixing arrangements require technical validation.

List equipment in the same brief

Give quantities for tables and chairs, flooring, lighting, sound and cooling or heating. Mention electricity constraints and permissions to check. This helps create a coherent offer; it does not confirm availability.

Send your brief to MH2C

The event form brings these details together and accepts plans or photos. A reference is generated when the enquiry is saved. Feasibility, layout, equipment and pricing are then confirmed in the proposal.
